Set up confirmations, reminders and messages between appointments.
First, confirmations.
When a client books an appointment with you, they need to get a confirmation email. This can be set up automatically through your scheduling software (ie Acuity).
Their confirmation email should clearly display:
1 – date and time of their appointment
2 – your address
3 – a link to cancel or change their appointment
4 – your cancellation policy for appointments.

Next, reminders.
Set auto reminders through your booking software (ie Acuity) for all appointments.
If you have monthly appointments, you want a reminder email or text to be sent to the client 1 week before the appointment, and again 24 hours before the appointment.
If you have weekly appointments (or several in a week, as in personal training), you want a reminder email or text to be sent to the client 24 hours and 1 hour before the appointment time.
If you have irregular appointments – like a sales appointment (or a No-Sweat Intro, for a gym), you want a reminder email sent more often – like a week before, the day before and an hour before the appointment time.
Make sure to include:
1 – date and time of the appointment
2 – your address
3 – a link to cancel or change the appointment
4 – your cancellation policy (not for sales appointments, but for all others)
5 – a reminder of what happens if the client is late. For example, our personal training appointment reminder ends with “Please be on time – it’s YOUR time we’re talking about here!”
